Running several branches? How to keep stock and cash under control

A second outlet doubles the places where stock and cash can go missing. Central software, transfers and branch-wise reports keep the owner in control.

Head office connected to several branches with stock transfers

Opening a second or third branch is a milestone. It also multiplies the work: more stock to count, more cash to reconcile and more staff to trust. Owners who manage it well usually follow the same few principles.

One system, every branch

When each branch keeps its own spreadsheet or register, nobody sees the full picture. A single cloud system gives every branch the same product list and prices, while the owner sees all of them together — or one at a time.

Move stock with a transfer, not a phone call

Stock that moves between branches should be recorded as a transfer: sent from one branch, received at the other. Anything sent but not received shows up immediately instead of disappearing.

Purchase centrally where it helps

Buying for all branches from a central warehouse often gets better supplier prices. The system should let you receive stock in the warehouse and distribute it to branches.

Close the cash every day

Each counter should compare the cash the system expects with what is actually in the till at the end of the day. Small differences caught daily never become large ones.

Compare branches with the same reports

  • Sales and profit per branch, per day
  • Stock value and slow-moving items per branch
  • Expenses per branch
  • Top-selling products in each location

Give staff only the access they need

A branch manager sees their own branch. A cashier bills and takes payments. Only the owner or head office changes prices and sees every branch’s profit.

Retail POS & ERP plans include from 1 to 20 branches. Compare the plans or start a free 14-day demo.
